Yes, we accept most major health insurance plans, including Medicare and many commercial insurance carriers. We recommend contacting our office prior to your first appointment so that our billing team can verify your specific benefits and advise you on any expected out-of-pocket costs.

The cost of diagnostic studies varies based on the type of study, its complexity, and your insurance coverage. We will verify your benefits in advance and provide you with an estimate of any expected out-of-pocket costs before the procedure is performed.
Referral requirements depend on your insurance plan. Many plans require a referral from your primary care physician to see a specialist. We recommend checking with your insurance carrier prior to scheduling. If you are unsure, our patient coordinator can assist you.
Please bring a valid photo ID, your insurance card, a list of all current medications (including dosages), any relevant prior medical records or imaging reports, and a list of your symptoms and questions. Arriving 15 minutes early for paperwork is appreciated.

Refund & Cancellation Policy

1. Overview
Blacksburg Neurology, P.C. is committed to providing high-quality neurological care and to maintaining fair and transparent billing practices. This Refund and Cancellation Policy outlines our policies regarding appointment cancellations, no-shows, and refunds for services rendered. By scheduling an appointment with our practice, you acknowledge and agree to the terms set forth in this policy.
2. Appointment Cancellations
We request that patients provide a minimum of 24 hours' advance notice when canceling or rescheduling an appointment. This allows us to offer the appointment time to other patients who may be waiting for care. Cancellations may be made by calling our office directly at 540-821-6436 during business hours (Monday through Friday, 8:00 AM – 5:00 PM).
3. Late Cancellations and No-Shows
Appointments canceled with less than 24 hours' notice, or appointments for which the patient does not appear without prior notification ("no-shows"), may be subject to a cancellation fee. This fee is not billable to insurance and is the responsibility of the patient. Repeated no-shows or late cancellations may result in discharge from the practice at the discretion of the physician.
4. Payments
Payment for services, including applicable co-pays, co-insurance, and deductibles, is due at the time of service unless prior arrangements have been made with our billing department. We accept cash, personal checks, and major credit and debit cards. For patients without insurance coverage, payment in full is expected at the time of service unless a payment plan has been arranged in advance.
5. Insurance Billing
We will submit claims to your insurance carrier on your behalf for covered services. It is your responsibility to provide accurate and complete insurance information at the time of your appointment. Any amounts not covered by your insurance, including deductibles, co-pays, co-insurance, and non-covered services, are your financial responsibility. If your insurance carrier denies a claim, you may be billed for the full amount of services rendered.
6. Refunds
Overpayments resulting from insurance adjustments or billing corrections will be refunded to the patient within 30 business days of identification, via the original method of payment where possible, or by check if the original payment method is unavailable. Refund requests should be submitted in writing to our billing department at info@blacksburgneurologypc.com.
Fees for services that have been rendered are generally non-refundable. If you believe you have been billed in error, please contact our billing department promptly. We are committed to resolving billing disputes in a fair and timely manner.
7. Diagnostic Testing
Diagnostic procedures (EEG, EMG, nerve conduction studies) that have been initiated or completed are non-refundable, as the physician's time, equipment, and technical resources have been committed to your care. If a diagnostic procedure is canceled prior to initiation, any pre-paid amounts will be refunded in accordance with Section 6 above.
8. Disputes
If you have a concern about a charge on your account, please contact our billing team as soon as possible. We are committed to resolving billing questions promptly and fairly.
